Turn site-visit recordings into same-day proposals with ChatGPT: a contractor's workflow (revenue is self-reported)

A deck contractor says he stopped letting bids pile up by recording every site visit, pasting the transcript and past client messages into ChatGPT, and asking for a recap email and a draft proposal based on his old proposals. He credits the change with a couple hundred thousand dollars in new sales over four to six weeks. That figure is his own and isn't independently verified.

What changed

Jameson Haslam (@jamesonhaslam), who runs West Coast Deck, posted a step-by-step look at how he quotes jobs now. Instead of writing each bid from scratch days later, he narrates the whole job walk out loud into a wearable recorder, saying measurements, options, and materials as he goes, then gives that transcript to ChatGPT right after he leaves. He says the client gets a detailed recap email within minutes, and the proposal draft is good enough to review with the client.

Who is affected

Anyone who quotes after a site visit or discovery call: contractors, agencies, consultants, and field-service businesses. It needs no connectors or API setup. He uses a ChatGPT Pro subscription plus a wearable recorder, call recording, a LiDAR scan app, and a jobsite photo and video app.

What to do now

  1. Gather context before the visit: call transcripts, emails, and any photos or videos the client sent.
  2. Tell the client you're recording, then narrate everything: the address, the scope, each measurement as you take it, the options you discuss, and the materials. Repeat back what the client asked for. Saying it out loud is what makes the transcript usable, and he notes it also sets clearer expectations with the client.
  3. Capture a scan or video walkthrough of the site for measurements you'll need later.
  4. Before you drive off, record anything you couldn't say in front of the client, then end the recording.
  5. Paste the transcript and all the earlier material into one ChatGPT conversation and ask for two things, one at a time: a recap email for the client with next steps, then a construction proposal that references your previous proposals.
  6. Price it yourself. Either have ChatGPT pull prices from your earlier proposals or fill them in from your own price book, and check every number before anything goes to the client.

What is not confirmed

The revenue figure (a couple hundred thousand dollars in sales in four to six weeks) comes from a single self-reported X post and hasn't been independently verified, and he credits part of it to changing how he runs site visits, not to ChatGPT alone. For "reference my previous proposals" to work, those proposals have to be available to ChatGPT, for example uploaded as files or kept in a Project; the post doesn't say how he does this. Recording-consent rules vary by state, so get the client's permission first, as he does.
